Learn how to access and utilize Workday as an external user. External users are individuals who need access to Workday but are not Iowa State employees or students, such as parents, contractors, vendors, government officials and other university partners.

Introduction

Some Workday users at Iowa State University, mostly third party users, access Workday directly through the login page. Learn how to access Workday as an external user, including multi-factor authentication.

Log In to Workday

Follow the steps below to access Workday as an external user at Iowa State University.

  1. Navigate to the Workday login page.
  2. Enter your Username and Password. Note: If this is your first time signing in, your username and password should have been sent to you in separate emails. 


     
  3. Confirm your email address and click Select


     
  4. A confirmation page will prompt you to check your email for a passcode. 


     
  5. Navigate to the email from Workday in your email inbox. Copy the passcode


     
  6. Back on the Workday login page, paste or manually enter your passcode and select Verify Code


     
  7. You have now successfully logged into Workday.

Learn how to make a payment on a student's behalf in Workday. Note: You must be given third party access by the student in order to make a payment on their account.

Make a Payment

Follow the steps below to make a payment on a student's behalf in Workday. Note: This process is initiated in Workday but is completed in Nelnet.

  1. Log in to the Workday login page.
  2. Hover over More in the left sidebar and select Financials for Third Party. 


     
  3. Select Make a Payment as Third Party from the Tasks section. 


     
  4. A pop-up window will appear. The student's name populates. Note: If you have more than one student, select the specific student's name in the Student field. Select Iowa State University in the Institution field and select OK


     
  5. Review the Total Account Balance and Due Now details and select OK


     
  6. You will be redirected to Nelnet. Follow the prompts in Nelnet to officially submit the payment on the student's behalf.

View Student Information

Follow the steps below to view academic and financial student information in Workday. Note: The student controls which information you can access. If you do not see information referenced in these instructions, your student has not given you access to it.

  1. Log in to the Workday login page.
  2. For academic information:
    1. Hover over Student in the left sidebar and select Academics for Third Party to view academic links such as current classes, transcripts, grades, etc. 


       
    2. Select Current Classes or Student Grades to view academic information. 


       
    3. A pop-up window will appear. The student's name populates. Note: If you have more than one student, select the specific student's name in the Student field.
      1. For Current Classes - select OK to see the student's current classes. 


         
      2. For Student Grades - select the Academic Period and select OK to see the student's grades for the selected period. 


         
    4. For financial information:
      1. Hover over More in the left sidebar and select Finances for Third Party to view financial information. 


         
      2. Select View Financial Aid as Third Party, View Account Activity as Third Party, or View Student Statement as Third Party to view financial information. 


         
      3. A pop-up window will appear. The student's name populates. Note: If you have more than one student, select the specific student's name in the Student field.
        1. For View Financial Aid as Third Party- select the Institution and Award Year and then select OK to see the student's financial aid for the selected award year. 


           
        2. For View Account Activity as Third Party- select the Institution and select OK to see the student's account activity. Note: The Due Now Details tab will show the amount currently owed for the student's account. 


           
        3. For View Student Statement as Third Party- select the Academic Period and select OK to see the student's statement. This option provides more details regarding your student's financial account organized by academic period. 


           

Frequently Asked Questions

My student said they set up my third party access, but I didn’t get an email. Now what?
It is likely they added you as “Friend and Family,” even selecting the third party checkbox, but they haven’t selected which tasks and information you can access. The student needs to see Workday Student: Manage Friends and Family Third Party Permissions to complete the second half of the Add New Third Party Access instructions.
Why isn’t Workday working on my phone?
Third party users should access Workday from the web on a computer.
Why don’t I see my student’s information in my Workday account?
If you use Workday professionally at work, third party access for your ISU student will not be visible from your regular Workday account. There is a special ISU login page for Workday that third parties must use to access student information.
I have multiple students at ISU. What do I do?
No problem! If all your students set up third party access using the same email address, you’ll be prompted to choose between your students when you go to pay a bill, view grades, etc.
I set up my third party, but they didn’t get an email. What next?

I’m getting an error when I set up my third party. What should I do?
There is an alert that pops up when you select the third party checkbox, essentially explaining that you need to also set up their permissions separately. Alerts are not errors and you can continue with the steps. Another reason you may get an error is that each person with third party access must have a unique email address. If two or more people are listed, a different email address must be entered for each person. Entering the same email address for multiple individuals will result in an error.
