To prepare for the deactivation (suspension) of a Net-ID, please review the items below.

Before your Net-ID is deactivated, review your MFA settings and register one or more alternative authentication factors below on your Iowa State account. Maintaining multiple authentication factors can help ensure continued access to eligible services, such as Workday or admissions applications when applicable, after your Net-ID deactivates.
 

Registering multiple factors also helps ensure you can recover access to your account or reset your password if necessary.

Once the account is suspended, access to the services and data below will no longer be available for the suspended account.

📨 ISU Email & Calendar

  • Notify contacts of a new email address. Document any stored contacts.
  • Save important emails individually (bulk export is not allowed).
  • Update email address on subscriptions (e.g., Netflix) and mailing lists.
  • Review and document upcoming calendar events.
  • Notify collaborators of changes to meeting invites or shared calendars.
     

📁 Cloud File Access & Shared Resources (e.g., Google Drive, OneDrive)

  • Transfer ownership of any academic or business-related shared files to colleagues who remain affiliated with ISU to ensure uninterrupted access and continuity.
  • Download any files from cloud storage that require exclusive access.
  • Coordinate with collaborators to ensure continued access to shared content.
     

📱Multi-Factor Authentication (MFA)

  • Remove ISU email from any external-to-ISU multifactor verification (MFA).
  • Set up MFA with a personal email or phone number for external services.
  • ⚠️ Critical Reminder: If a suspended ISU email is linked to multi-factor authentication (MFA) for external services and contact information is not changed to a personal address, access may be blocked to those accounts. Once an ISU email is suspended,  verification codes or login credentials cannot be received by the ISU email.  

🔐 Account-Linked & Connected Services

  • Update login credentials for any external services that use a soon-to-be suspended ISU email (e.g., banking, utilities, social media).
  • Disconnect a soon-to-be suspended ISU account from third-party services (e.g., GitHub, Zoom, Dropbox, Facebook, Apple ID).
  • Migrate data or access to personal accounts where needed.
  • Reassign management of departmental accounts (e.g., social media platforms), departmental apps, or digital resources to current ISU personnel.
     

🧪 Academic & Research Data

  • Archive or transfer research data.
  • Coordinate with your department or PI for data retention needs.
     

📲 Device Management

  • Remove ISU account from personal devices (phones, tablets, laptops).
     

❗Important Reminders

  • ❗ No access will be granted after suspension.
  • ❗ Bulk email export is not permitted.
  • ❗ Remove ISU email from third party services and external MFA to retain access to personal accounts and services.
