FAQ: I’m currently faculty/staff at Iowa State. What will happen to my email account when I leave Iowa State?

When a faculty or staff member leaves Iowa State, the email account remains active for a time before being suspended and finally expired (deleted).

The email account (Net-ID) of retirees or people leaving the university is suspended when we do not receive updated payroll information for a person after a certain cutoff date: June 30 of the previous year for spring suspensions, December 31 of the previous year for fall suspensions. Departments can request an earlier removal if they have the approval of the Vice President for Business and Finance.

The following things will happen when the account is suspended:
-- User cannot create any new files, although previously existing files will remain.

-- User cannot log in interactively to services (e.g., WebMail).

-- User can FTP in to download files.

-- Email will bounce if a forwarding address has not been set.

-- Lists owned by account will be marked as inactive.

The account (Net-ID) remains suspended until the next round of suspensions, when it will finally be expired. Suspensions are normally done on the 18th day of classes in the fall and spring semester. Email notices to people scheduled for suspension go out about a month before the actual suspension. An account is marked for expiration shortly before it is finally deleted.

When the account is expired:
-- Files will be deleted shortly thereafter.

-- Lockers owned by account will continue to exist as long as there is a valid grant paying for them.

-- The user's files are not accessible after the files are deleted.

-- Account is removed from all of the lists of which it is a member. Any list that it owns will be deleted.

-- Email forwarding stops working and any mail left on the pop servers is deleted.

-- Account is deleted from Active Directory and will be removed from any groups it was a member of.
